Proposal Management Software includes documented processes, training of team members, and schedule to implement processes. Major steps involved in proposal process are creating a process that defines responsibilities of the team and following the structure to ensure successful completion of proposal. Key members of a proposal team are proposal manager, volume leader, proposal coordinator, production leader, proposal writer, proposal editor and pricing staff. Proposal manger obtains all resources to produce the proposal and volume leader leads development of proposal volume. Proposal coordinator is a key functionary who supports manager with development process and production leader leads publication process including printing/copying/binding/packaging. Proposal writer/illustrator works with manager to provide text and graphics illustrating the solution. Duty of proposal editor is to edit all drafts of the proposal and provides cost information for the solution provided. Proposal creation will vary according to size of the proposal team and budget restrictions will dictate development process. Complexity of proposal requirements will determine proposal resources including deadlines, bid, teaming agreements with companies and technology needed to develop the solution. According to seasoned proposal managers of today, managing resources is not just a pre-RFP concern. Utilizing proposal staff effectively will reduce costs and minimizing distractions to remaining team members. Deadline of proposal is affected by deficiencies in fulfilling the requirements and vendor/company limitations. It is the need of the hour to provide training to all staff members in the form of proposal seminars. Members of the proposal team should be proficient in software packages like MS Office, Adobe Frame Maker, Photoshop and Visio. It is necessary to outline format and production requirements of a business proposal.
